Welcome

Property Plus is a cloud-based database designed by property managers for retail and corporate occupiers providing you with a cost-effective and straightforward means of managing estate portfolios.

The system draws together all the information required into a single integrated database. This enables everyone to work from the same real time data wherever they are.

The information can be viewed in a number of different ways supporting a range of activities from routine administrative tasks to strategic planning.

The system boasts work-flow functionality that allows it to issue alerts, notifications and emails when action is needed on anything from scheduled maintenance to forthcoming lease break dates.

Being a cloud based system, it can be securely accessed by authorised users anywhere in the world via an internet connection enabling full mobile working. Alternatively it can be set up and hosted within your own IT framework if required.

All aspects of data management, security and back-up are managed by us to the highest industry standards to ensure your data is secure at all times.

Although designed as a freestanding system Property Plus can integrate with other applications such as financial systems.

Property Plus will save you money. Property costs are a major overhead – for most retailers the largest one – and Property Plus enables you to minimise your occupancy costs through real-time monitoring. At the same time it maximises your negotiating position with suppliers and facilitates quality improvements through monitoring SLAs.

Property Plus makes your life easier by delivering operational efficiencies. All conceivable property data – from location, leases and floor areas to furniture and headcount – are recorded in one easily-accessed database. This gives you, the property manager, total confidence that information is current and instantly accessible.

Property Plus puts you in control. The systemisation of property management activities such as rent reviews, payments and lease renewals saves costs by minimising risks such as missing key dates. A fully-integrated facilities management module allows you to set up capital projects, co-ordinate and manage reactive and planned maintenance activity, and the Work-flow functionality issues alerts, notifications, and will even email other members of your team when action is required.

The software comprises 9 sections controlled by menus. this help file will deal with each menu in turn from left to right.

However, it would be a good idea to look at the admin section first – in conjunction with the help file notes.

In a little more detail we can look at some of the important aspects of Property Plus:

  • Designed specifically for corporate occupiers
  • Help minimize your occupancy costs
  • Excellent reporting and analysis
  • Fully web enabled allowing secure access from anywhere.

Most property management software in the market is designed for large managing agents or investors and they tend to focus on landlord accounting and controlling rental and service charge income, rather than controlling costs.

Property Plus Software has been specifically designed for the needs of corporate occupiers, allowing them to monitor all aspects of their portfolio from property information to lease dates and occupancy costs to maintenance spend.

Property Plus is being used now by UK national retailers and international corporate occupiers.

Estate Management

At the heart of Property Plus is a powerful database that can handle all your data and records. Property can be recorded in a variety of ways and to suit your portfolio and company structure. It integrates well with all Microsoft products such as Word, Excel and Outlook.

You can record a huge amount of data against a property – location, amenities, leases, subleases, subtenants, landlords, managing agents, photographs, management notes, documents, measurements, furniture, head count, acquisition and disposal details, rating and all occupancy costs.

Controlling Costs

  • Property Plus helps you identify very precisely what you spend on all your properties.
  • You can monitor those costs at whatever level you want: by individual building, or individual supplier, or individual cost type – all with a view to finding out where your money goes and how you might be able to reduce those costs.
  • In the hands of an experienced property manager, Property Plus will soon pay for itself – and thereafter it is directly contributing to your bottom line.

Lease dates

  • Property Plus monitors all your critical lease diary dates, including:
  • Expiries
  • Break notice dates
  • Rent reviews
  • Heath and Safety events
  • Redecoration clauses
  • Planned maintenance events
  • Any routine procedures

A missed key event can cost hundreds of thousands of pounds. Property Plus will store all your key dates, send email alerts as required and be a mechanism for appropriate triggers for action at any point in the future. You can choose just how that works – escalating alerts, emails to various individuals, links to Outlook.

Facilities Management

Property Plus has a fully integrated FM section split in to distinctive areas to give you maximum information and control of this sector. You can set up capital projects such as fit outs or refurbishments and record all financial information associated with that project. You can store information on utilities, planned maintenance events, health and safety events.

The function also has a fully integrated reactive maintenance section where you can raise reactive maintenance jobs and email these directly to suppliers and set up alerts to track progress.

Property costs are normally a business’s second largest cost and for retailers it is normally their largest. However sometimes the property management function is overlooked. In today’s tough business environment, that has to change. Property costs represent a huge overhead – and they are one area in which real savings can be achieved with minimal pain.
